About the Job

We are hiring a Project Coordinator – Procore to join our Project Controls Team on the Mobilinx Project. This position reports to the Project Controls Manager.

What You Will Be Doing?

  • Create technical instructions, workflows, and other documents related to Procore integration, and develop work plans for team members.
  • Create and Maintain Procore Training Centre for Mobilinx.
  • Evaluate current processes and recommend solutions based on project and departmental requirements and Procore capabilities.
  • Sandbox testing of proposed processes before rolling out to the team.
  • Provide ongoing Procore support to users within the organization and designers, consultants, and subcontractors including training sessions.
  • Train new employees as they are onboarded.
  • Setup all new project staff with Procore certification instructions, start-up information.
  • Assist with company and project tools configuration settings including reporting templates. (RFI, Submittal Reports, Meeting Minute Templates).
  • Administrate user permissions and access and configure tool settings as required.
  • Facilitate imports of project specific data (Directory, Submittal Register, Punch-list, etc.)
  • Provide access as requested and subscribe users to specific tools, distribution groups, submittals, and documents.
  • Liaise with the Procore Implementation Manager and other Procore support staff to keep up to date with the latest improvements to Tools.
  • Track, manage, communicate and rollout of monthly new release tool features for all project tools.
  • Maintain Procore user distribution groups.
  • Research of third-party integration software to implement with Procore.
  • Monthly maintenance/auditing for project tool usage and standardization.
  • Monthly project database clean-up of company level directory/auditing of user permissions.
  • Run and rollout system wide reports for departments.
  • Research and develop Best Practices for all Procore tools, capture in technical instructions
  • Final project archiving via IT.
  • Project management, progress reporting and relationship building
  • Training development, training facilitation and tool adoption assistance
  • Ongoing support and business process refinement
  • Ongoing relationship development between Mobilinx and client satisfaction
  • New initiative and tools identification and development
  • Support the ongoing development of Mobilinx tools and new product development
  • Ability to present to management reports on progress as well as problem and solutions
  • Effectively collaborate with internal departments, stakeholders, and vendors to define requirements ad present solutions to business challenges
  • Training Requirements:
    • Classroom/Virtual style training for company users, external partners, clients & subcontractors with ne-on-one training as needed
    • Remote training per Microsoft Teams meeting for all users as needed
    • Troubleshooting of all tools & practices as needed
    • Create and maintain training documents for training manual

What We Are Looking For?

  • BSc in Business System Analysis, Engineering, or Diploma in a related field such as Document Control/Information Management in Construction.
  • 5 years of on-site experience in construction related field with hands-on (Implementing, configuring, administering, and training) experience with Procore software.
  • Knowledge and experience with the phases of the construction lifecycle including accounting practices and project management
  • Similar role as Business System Analysis.
  • Good understanding of the heavy civil construction industry including development, contracting and a good knowledge of data entry requirements.
  • Strong interpersonal and communication skills
  • Self-motivated with a high degree of integrity, honesty and ethics, and client service orientation
  • Procore and Procore Training Center
  • Proficient in Microsoft products (Excel, Powerpoint, Word) a must
  • Strong Organizational skills/ Excellent communication skills – interpersonal, written & presentation Proven work experience as a Procore superuser or similar role
  • Excellent grasp of the English language.
